Admin Operations Assistant

Sanctus, a leading coaching and workplace wellbeing business, is looking for an agile and dynamic Admin Operations Assistant to support its purpose-led business!

What you will do:

We are looking for an Admin Operations Assistant who will report to the Head of Coaching Services Delivery to support the coaching service delivery team and various functions across the business.

Your work would cover a wide range of ad-hoc and day-to day back-office activities and tasks including, but not limited to, the following: 

  • Providing first-level technical support to our coaches in delivering group workshops;
  • Supporting our Coaching Service Delivery Team by monitoring the programmes delivered and carrying out necessary tracking and coordinating information in collaboration with different teams on further action, including: follow-ups to ensure their smooth running for all parties involved, checking progress, sending reminders, reviewing and editing dashboards,escalating when needed,monitor and manage the internal ticketing system in the absence of the Coaching service manager
  • Supporting our Partner Managers in managing activity flows to engage our clients, including preparing  activity reports and sending mailings; 
  • Supporting our Finance Team in collating and reconciling bookings and invoices for our clients and coaches. 
  • Supporting the overall business with accurate reporting (tracking KPIs, preparing dashboards and progress overviews in areas relating to our programmes) as well as our client and coach satisfaction. 

Experience and Skills required:

  • Previous Admin/ Operations experience in supporting a growing business to deliver a superior service to clients and partners;
  • Previous experience of working in a fast-paced environment and an ability to problem solve;
  • Experience in working with databases and spreadsheets and an ability to synthesise high volumes of data into actionable information; comfortable with data manipulation;
  • Proficiency in Google suite;
  • Experience of working across different technical systems and an ability to figure out how to get the most out of new systems and platforms (amongst others we use Google suite, Notion, Airtable, Calendly, Zoom and Mural and whilst we will provide training, it would be great if you have previous experience of some of these systems or others that are similar)

What is on offer?

The salary will be in the range of £20,000-£22,000 per annum, depending on experience, based on working 30 hours per week spread over four to five days. This is a fixed term contract for six to nine months.
